When Is a Seat Required?
To invite someone as a Collaborator, a seat is required.
Seats allow Collaborators to perform broader actions, including data management and access to premium features included in your Individual plan.
Seats apply only to reviews that you own under your Individual subscription.
You do not need a seat to invite:
Free Reviewers
Free Viewers

Which Actions Require a Seat?
A seat is required when inviting a Collaborator who needs access to features such as:
Importing references
Exporting references
Detecting and resolving duplicates
Data Extraction
Advanced review management actions
Accessing premium features included in your Individual plan
If the invited member does not need access to these features, you may invite them as a Free Reviewer instead.
How Seats Work During Invitation
Seats are not assigned manually.
They are automatically applied when you invite someone as a Collaborator.
Steps:
Open a review you own.
Scroll to the top of the page.

Click Administration.

An admin panel will open showing your base team seats, including:
All Purchased Seats
Used Premium Seats
Free Seats
If no seat is available, you will be prompted to purchase one before completing the invitation.
Once the purchase is completed:
The collaborator is successfully added
They gain access to the premium features included in your plan
Access is limited to reviews you own
Important Note
A collaborator is added per review.
They are not automatically added to all reviews you own.
If you want the same collaborator to access multiple reviews you own, you must invite them separately to each review.
This allows you, as the owner, to control exactly which reviews each collaborator can access.
Managing Seats
Seats are tied to named users
Seats can be reassigned by removing a collaborator and inviting another user
Seats only apply to reviews owned by the subscription holder
If you remove, revoke, or change the role of a Collaborator, the seat becomes available for reassignment.

Important Notes About Seats
Free Reviewers and Free Viewers do not require seats
Assigning a Paid Collaborator without an available seat will trigger a purchase prompt
Seats do not transfer paid access to reviews owned by others
