Subscription Types in Rayyan
Rayyan provides two subscription types:
Individual subscriptions
Designed for users who own and manage their own reviews.Institutional subscriptions
Designed for organizations that manage reviews centrally across multiple users.
Each subscription type uses a different access control model and is governed by different ownership rules.
How Access to Paid Features Works
Rayyan controls access to paid features using one of two models, depending on the subscription type:
Seat-based access — used by Individual subscriptions
License-based access — used by Institutional subscriptions
These models define who can use paid features and where those features apply.
They are not interchangeable.
How Access to Paid Features Works in Rayyan
Rayyan uses two different access models depending on the type of subscription:
Individual subscriptions use a seat-based model
Institutional subscriptions use a license-based model
Both models control who can access paid features, but they differ in scope and scale.
Individual Subscriptions (Conceptual Overview)
Individual subscriptions use a seat-based model.
Key characteristics:
Reviews are owned by an individual user.
Paid features apply only to reviews owned by that user.
Access for collaborators is limited to the reviews they are explicitly invited to.
Seats define which collaborators can use paid features within the owner’s reviews.
Note: The review owner controls the review itself — including ownership, settings, and permissions — while collaborators participate only within the scope allowed by their assigned role and seat status. Collaborators do not share ownership and do not carry paid access into reviews owned by other users.
Institutional Subscriptions (Conceptual Overview)
Institutional subscriptions use a license-based model.
Key characteristics:
Reviews are owned by the individual licensed user who creates them
Reviews can be managed (viewed, accessed, edited, or deleted) by Enterprise Owners or Admins
Paid features apply across all reviews the licensed user has access to
Access and permissions are centrally administered at the institutional level
Note: How licenses are assigned and managed is explained in a separate article.
Review Ownership and Access Scope
Ownership determines where paid features apply.
-
Individual subscriptions
Reviews are owned by the individual.
Paid features apply only within that user’s owned reviews.
-
Institutional subscriptions
Paid features apply across all collaborative and personal reviews the user can access.
Key Differences Between Individual and Institutional Plans
While both plan types support high-quality systematic reviews, they differ in scope and scale.
| Area | Individual Plans | Institutional Plans |
|---|---|---|
| Access scope | Features apply to reviews you own | Features apply across all joined reviews |
| Collaboration | Per-seat collaboration | License-based collaboration |
| Review limits | Per user | Shared across organization |
| Best for | Individuals and small teams | Departments and organizations |
This separation helps ensure each user type receives the right level of access and support.
Choosing the Appropriate Subscription Type
When selecting a subscription, consider:
Are you working independently or as part of a team?
Do collaborators need full access or limited screening access?
How many reviews do you typically run at the same time?
Do you require advanced AI-assisted research tools?
Is the review owned by an individual or an organization?
Subscription type determines ownership, access scope, and administration model.
