Before you begin Only the review owner can invite members, change roles, and remove members. Reviewer and Viewer roles are free on all plans. To invite a Collaborator, you need an active Essential or Advanced plan with available seats. Make sure your review is already created before following this guide.
How to invite members
You can invite members at any point — during review creation or after the review is already set up.
During review creation:
- On the Invite Members step of the review creation wizard, enter the email address of the person you want to invite
- Select their role from the dropdown
- Add an optional message
- Click Invite
From an existing review:
- Open the review and go to the Overview page
- Click Invite Members
- Enter the email address, select the role, and add an optional message
- Click Invite
Best practice Double-check email addresses before sending invitations — especially if members may use either a personal or an institutional email address.
Note You can enter multiple email addresses at once when sending invitations. Reviewer and Viewer roles can be invited for free. Collaborator roles require a paid seat — see Roles and Permissions in Rayyan for details.
How to change a member’s role
- Open the review’s Overview page
- Scroll to the Review Members section
- Click the member’s current role under the Role column
- Choose a new role from the dropdown
Note Only the review owner can change member roles. Changing a member’s role takes effect immediately.
How to remove a member
- Open the review’s Overview page
- Scroll to Review Members
- Click the … next to the member’s name
- Choose Revoke Member or Delete Member
| Option | What happens | Available on |
|---|---|---|
| Revoke Member | Removes access but preserves all screening decisions, labels, and notes made by that member | Essential and higher plans |
| Delete Member | Removes access and hides all contributions made by that member from the review | All plans |
Important Deleting a member is not permanent — Rayyan preserves their data. If you re-invite them using the same email address, their previous contributions will reappear automatically. The deletion warning shown by Rayyan is a precaution, not a reflection of permanent data loss. Use Revoke Member if you want to remove access while keeping their contributions visible without re-inviting them.
How to restore a member’s access
If a member was revoked, you can restore their access from the same member management area:
- Open the review’s Overview page
- Scroll to Review Members
- Click the … next to the member’s name
- Select Restore Member
